Calendar

The Calendar feature in Ingegno CRM helps you organize meetings, appointments, and team schedules in one centralized place. You can create appointments, view them in multiple formats, manage participants, and sync everything with Google Calendar or Outlook.

Accessing the Calendar

Navigate to Calendar in the CRM section of the sidebar. The calendar opens with a monthly view by default, showing all days of the current month organized in columns (Sunday through Saturday).

Calendar Information Display

At the top of the calendar, you'll see:

  • Current date badge: Shows the current date (for example, MAR 26) along with the full month and year (March 2026)
  • Event count: Displays how many events are scheduled (for example, "0 events")
  • Date range: Shows the first and last day of the current view period (for example, Mar 1, 2026 - Mar 31, 2026)
  • Today indicator: Today's date is highlighted with a colored circle on the date number

Calendar Views

Switch between different calendar views using the view toggle icons in the toolbar. Ingegno CRM offers four viewing options:

  • Day view: Focus on a single day with hourly time slots
  • List view: See all appointments in a simple list format
  • Column/3-day view: View three consecutive days side by side
  • Month view: See the entire month at a glance (default view)

Each view is optimized for different scheduling needs. Use the month view for long-term planning and the day or 3-day view for detailed schedule management.

Creating an Appointment

Starting a New Appointment

Click the + New Appointment button in the toolbar to open the appointment creation dialog. You can also drag and drop directly on a calendar grid cell to start creating an appointment for that date.

Appointment Details

When creating an appointment, fill in the following information:

Basic Information
  • Title: Enter a descriptive title for the appointment (for example, "Meeting with client")
  • Description: Add detailed notes or agenda items (for example, "Add notes or agenda...")
Date and Time
  • Start: Select the start date and time (for example, 03/26/2026 13:18)
  • End: Select the end date and time (for example, 03/26/2026 14:18)
  • All Day: Toggle this option to create an all-day event that doesn't require specific start and end times
Location and Category
  • Location: Enter where the appointment will take place (for example, "Office, Zoom, etc.")
  • Category: Choose the appointment type from the dropdown (default: Meeting)
  • Priority: Set the priority level (default: Normal)
Visual Customization
  • Color: Select a color from the color picker to help identify appointment types at a glance. Ten colors are available: blue, green, teal, purple, red, dark red, orange, yellow, pink, mint, light blue, and gray.

Managing Participants

The Participants section allows you to invite team members to your appointment:

  • Click + Add Participant to add participants
  • Remove participants by clicking the X next to their name
  • When no participants are added, you'll see "No participants added"

All added participants will receive notifications about the appointment and can view it on the shared calendar.

Reminders

Set up notifications so you don't miss important appointments:

  • A default reminder is set to In-App - 15 min before (15 minutes before the appointment)
  • Remove any reminder by clicking the X next to it
  • Click + Add Reminder to add additional reminders at different times

Multiple reminders help ensure you never miss a meeting, whether you prefer notifications via the app or other channels.

Recurring Appointments

Use the Repeat dropdown to create recurring appointments:

  • Does not repeat (default): Creates a one-time appointment
  • Choose other intervals to automatically repeat the appointment daily, weekly, or monthly

Recurring appointments save time when you have regular meetings that happen on a schedule.

Filtering by Team Member

Use the member avatar circles and the Tutti dropdown in the toolbar to filter the calendar by team member. This helps you see which appointments belong to specific team members and manage workload distribution.

Calendar Sync

Syncing with External Calendars

Toggle the Sync with Calendar option when creating an appointment to automatically sync it with your connected calendar service.

Connecting a Calendar Service

Ingegno CRM supports calendar synchronization with:

  • Google Calendar
  • Outlook

To set up calendar integration, go to Settings > Integrations and enable the Calendar integration. This creates a two-way sync between Ingegno CRM and your preferred calendar service, ensuring all appointments stay in sync across platforms.

Saving and Managing Appointments

Click Create Appointment to save your appointment and add it to the calendar. You can:

  • Edit appointments by clicking on them in the calendar view
  • Drag and drop appointments to different dates or times
  • Delete appointments when they're no longer needed
  • View all appointments for a specific person or category by using filters

The calendar is real-time, so all team members see updates immediately when appointments are created or modified.
