Connect via SMTP
Connect any email provider to Ingegno using custom SMTP and IMAP settings.
When to use SMTP/IMAP
Ingegno supports connecting virtually any email provider using custom SMTP and IMAP settings. This guide covers how to set up your email account with manual server configuration.
When to Use SMTP/IMAP
Choose SMTP/IMAP connection if:
- Your email provider is not Google Workspace or Outlook
- You prefer manual configuration over OAuth
- Your organization uses a custom mail server
- You want to use an app-specific password instead of OAuth
- Your email provider doesn't support OAuth
Before You Start
To connect via SMTP, you'll need:
- Your email address
- SMTP server address (for sending emails)
- SMTP port number (typically 587 or 465)
- IMAP server address (for receiving emails)
- IMAP port number (typically 993)
- Your email account username
- Your email account password or app-specific password
Most email providers publish this information in their help documentation. Common settings are listed below for popular providers.
Step-by-step setup
1. Open integrations
There are two ways to reach the email integration settings:
Option A — From Settings:- Click Settings at the bottom of the left sidebar
- Select the Integrations tab
- Find the Email card and click + or Manage →
- Click the chat icon on the far-left sidebar
- Under Email, click Account
- Add a new account from there
2. Select SMTP/IMAP
On the Connect Email Account page, choose the SMTP/IMAP card — it says "Connect any email provider". Click the Configure SMTP button.
A dialog titled "Connect SMTP / IMAP" will open with configuration fields.
Filling in the Form
Email Address
In the Email Address field:
- Enter the complete email address you want to connect
- Example:
[email protected] - This is the email that will appear as the sender
SMTP Settings (Outgoing Emails)
These settings control how Ingegno sends emails on your behalf.
SMTP Host- Enter your provider's SMTP server address
- Example:
smtp.gmail.comorsmtp.company.com - Do not include
http://orhttps://
- Default value is 587 (TLS encryption)
- Use 465 for SSL encryption (less common)
- Verify which port your provider requires
- Usually your complete email address
- Example:
[email protected] - Some providers accept just the username portion
- Check your provider's documentation
- Enter your account password
- For Gmail, use an app-specific password (not your regular password)
- For Microsoft 365, use your account password or app-specific password
- For other providers, use your account password
IMAP Settings (Incoming Emails)
These settings control how Ingegno receives and syncs your emails.
IMAP Host- Enter your provider's IMAP server address
- Example:
imap.gmail.comorimap.company.com - Do not include

- Default value is 993 (secure, encrypted connection)
- This is the standard port for most providers
- Rarely needs to be changed

Gmail / Google Workspace
- SMTP Host:

- SMTP Username: Your full Gmail address
- SMTP Password: App-specific password (generate in Google Account Security settings)
- IMAP Host:
imap.gmail.com - IMAP Port: 993
Outlook / Microsoft 365
- SMTP Host:

Zoho Mail
- SMTP Host:

Corporate/Custom Mail Servers
- Contact your IT department or email administrator for:
- SMTP and IMAP server addresses
- Port numbers
- Authentication requirements
- Any special security settings
Completing the Connection
- Review all fields for accuracy
- Click "Connect SMTP" to save and test the connection
- Ingegno will verify your settings by attempting a test connection
- If successful, you'll see a confirmation message
Verify Your Connection
After a successful connection:
- You'll be returned to the Ingegno dashboard
- Your email account will appear in Channels > Email > Account
- Your inbox will begin syncing—this may take a few minutes for the first sync
- Incoming emails will appear in Channels > Email > Inbox
Sending Test Emails
Once connected:
- Go to Channels > Email
- You can compose and send emails directly from Ingegno
- Sent emails will use your configured SMTP account
Security & Privacy
Your SMTP/IMAP connection is protected by:
- Encrypted storage: Your passwords and credentials are encrypted and stored securely
- Secure transmission: All connections use TLS or SSL encryption
- Limited access: Ingegno only accesses the email data necessary for the features you use
- Easy revocation: Disconnect your account at any time from the dashboard
Troubleshooting
"Connection failed" or "Authentication error"
- Verify you entered the correct SMTP and IMAP servers
- Check that you used the correct username and password
- For Gmail, ensure you're using an app-specific password, not your regular password
- Verify your email provider's server settings in their help documentation
- Check if your email provider requires specific security settings or firewall exceptions
"Port connection refused"
- Verify the port number is correct (typically 587 for SMTP, 993 for IMAP)
- Some networks or firewalls block certain ports
- Try contacting your IT administrator if you're on a corporate network
- Check your email provider's help documentation for alternate ports
"Email address is invalid"
- Ensure you entered the complete, correct email address
- Double-check for typos or extra spaces
- Verify the domain is spelled correctly
Emails not appearing in Ingegno
- Wait a few moments for the initial sync to complete
- Check your email provider's webmail to ensure emails exist there first
- Verify the connection is still active in Channels > Email > Settings
- Try disconnecting and reconnecting the account
- Check if your email account might have security blocks enabled
"Incorrect password" error
- Verify you copied your password correctly
- For Gmail, confirm you're using an app-specific password
- Reset your password with your email provider if needed
- Try connecting again with the new password
- Contact your email provider if you're unsure about your password
Sent emails not appearing in "Sent" folder
- This is normal if your provider's IMAP configuration doesn't include the Sent folder by default
- Ingegno focuses on incoming email management
- Check your email provider's webmail to verify sent status
Disconnecting SMTP
If you need to remove the connection:
- Go to the Channels section > Email > Account
- Find your SMTP account
- Click to disconnect
Disconnecting
Previously synced emails remain in Ingegno. New emails will stop syncing. You can reconnect at any time.
