Connect Outlook

Step-by-step guide to connecting your Outlook or Microsoft 365 account to Ingegno for email sync.

Before you start

To connect Outlook, you'll need:

  • An Outlook.com or Microsoft 365 email account
  • Access to your Ingegno workspace
  • A browser with pop-ups enabled (for the Microsoft authorization window)

Microsoft 365

If your company uses Microsoft 365, your IT administrator may need to approve the Ingegno app first. Contact your admin if you see an "Admin approval required" message.

Step-by-step setup

1. Open integrations

There are two ways to reach the email integration settings:

Option A — From Settings:
  1. Click Settings at the bottom of the left sidebar
  2. Select the Integrations tab
  3. Find the Email card and click + or Manage →
Option B — From the Channels section:
  1. Click the chat icon on the far-left sidebar
  2. Under Email, click Account
  3. Add a new account from there

2. Select Outlook

On the Connect Email Account page, you'll see three provider options. Choose the Outlook card — it says "Connect via Microsoft OAuth".

3. Authorize with Microsoft

  1. Click the blue Connect Outlook button
  2. A Microsoft sign-in window will appear
  3. Enter your Outlook or Microsoft 365 email address
  4. Enter your password and complete any two-factor authentication
  5. Review the permissions Ingegno requests
  6. Click Accept

4. Verify the connection

  1. Navigate to the Channels section (chat icon on the far-left)
  2. Click Email > Inbox
  3. You should see your emails appearing in the inbox
  4. Try sending a test email from Ingegno to verify outbound works

Initial sync

The first sync may take a few minutes depending on how many emails need to be synced. You can continue using Ingegno while it syncs in the background.

Sending emails via Outlook

Once connected, you can send emails through your Outlook account from within Ingegno:

  • From the Inbox in the Channels section
  • From a lead or client profile

The email is sent through Microsoft's servers, so it also appears in your Outlook "Sent Items" folder.

Managing your email accounts

Go to the Channels section > Email > Account to see all your connected email accounts. From the Settings > Integrations page, the Email card shows how many accounts are currently connected (e.g., "7 Connected").

Troubleshooting

"Admin approval required"

Your Microsoft 365 administrator needs to approve the Ingegno app. Ask them to authorize the application in the Microsoft Entra admin center.

Emails not syncing

  1. Check that the connection is still active in Channels > Email > Account
  2. If it shows as disconnected, try reconnecting
  3. Make sure your Microsoft account password hasn't changed

Emails not linking to contacts

  • Verify the contact's email address matches exactly
  • Check your email sync settings in Channels > Email > Settings
  • You can always link emails manually

Disconnecting Outlook

If you need to remove the connection:

  1. Go to the Channels section > Email > Account
  2. Find your Outlook account
  3. Click to disconnect

Disconnecting

Previously synced emails remain in Ingegno. New emails will stop syncing. You can reconnect at any time.
